When chat and the calendar disagree

WhizSuite · 2026-10-14

Somebody has to lose. Pick the calendar, then update it on purpose when the plan changes.

Name the source of truth

Chat is where people think. The calendar is where the date lives. Say that to the team until it is annoying. When they conflict, the calendar wins until a person changes the calendar.

Do not "just remember" the exception. Remembering is how the freelancer posts the old date.

Change the row, then reply

If a client moves a post in chat, the next action is to move the row and reply with the new date. The reply confirms the system. The other order creates a second place people will trust.

Include the time zone in that reply. "Friday" is not a time.

Old messages linger

Pinning a message from March is a good way to publish March's offer in June. Unpin decisions that have been copied onto the calendar. The pin was a bridge, not an archive.

Search is not a process. If the only way to know the date is to scroll, the calendar has already failed and you are back in chat.

Audit once a week

For ten minutes, compare what chat decided this week with what the calendar says. Fix the rows. You will find at least one ghost. That ten minutes is cheaper than a wrong post.

If the ghosts are constant, the team does not believe the calendar is real. Ask why. Usually the calendar is missing a status they can only see in chat. Add the status.
