File names for freelance designers

Freelancers are not messy. They are outside your head. Give them the pattern in the brief.
A pattern that sorts
Client, date, format, short topic, version. "northwind_2026-10-02_feed_spring-price_v2.png" sorts and means something. "New new FINAL.png" does not.
Use the publish date or the batch date, and say which. Mixed date meanings are how March files land in October folders.
Versions go forward
Increase the version when the pixels change. Do not reuse v2 because you "went back." Going back is v4 that happens to resemble v2. The archive needs the true sequence.
Put the version in the post record, not only in the file name, so a rename does not erase history.
One folder they can see
Give the freelancer a single drop for that client. A map of your whole drive is an invitation to file things in the wrong year.
You move finals into the library. Do not ask a contractor to learn your entire information architecture for a two-week job.
Reject the unnamed export
If a file arrives outside the pattern, rename it before anyone reviews it, or send it back. Reviewing "untitled-3" guarantees the notes stick to the wrong frame.
Praise a clean delivery once. People repeat the standard that gets a fast review.
