Portal comments instead of email

WhizSuite · 2026-09-21

You can be polite in email and still refuse to treat the inbox as the system of record.

Reply with the location

When feedback arrives by email, answer with a thank you and the line "I put this on version 3 in the portal." Then actually put it there. The email is a notification. The portal is the note.

If you only reply in email, you have trained the client that email works better. They will keep using it.

Do not fork the thread

A long email thread plus portal comments will diverge by the third reply. Pick the portal for anything that changes pixels or words on the post. Use email for scheduling a call.

Forwarding the thread to a designer "for context" dumps five contradictory asks on them. Summarize onto the file instead.

Subject lines are not versions

"Updated post!!" tells you nothing about which file moved. Portal versions can be numbered. Refer to the number in any side email so a late reader can still find it.

Attachments in email become a second library. Ask people not to attach a new export if the portal already has one. Two finals is no final.

Make the habit visible

In the first two weeks, praise the client when they comment in the portal. People repeat what gets a calm response. They also repeat what gets a faster response, so answer portal notes quickly or the habit dies.

If your team is slow in the portal and fast in email, you are the reason the portal is empty.
