Reply windows belong in the fee

WhizSuite · 2026-08-12

Clients hear "community management" as "someone is always there." Say the hours out loud.

Write the clock

Days, hours, zone. "Business hours" is almost a clock. Add the zone and whether lunch is covered. Grey areas become unpaid arguments.

Outside the window, set an auto expectation if the network allows it, or accept that people will wait. Both are honest.

What the window includes

Comments, DMs, or both. Mentions on other accounts or not. Review sites or not. Each addition is more tabs. List them or they will be assumed.

Language matters. If you only reply in one language, say so. Do not half-reply in a language nobody on the shift actually speaks.

Surges

A post that takes off can drown the window. Pre-agree a cap and a call. The cap protects the other clients sharing the same people.

After a surge, talk about whether the window and the fee still match. Do it with counts.

Proof without theater

A simple log of volume is enough for a quarterly conversation. You do not need a dashboard with fourteen gauges. You need to know if the shift is real.

If you cannot staff the window you sold, narrow it at renewal. Do not quietly miss it.
