What clients should see on an invoice

WhizSuite · 2026-08-04

An invoice is a summary for someone who was not in your stand-up.

The minimum

Your name, their name, a number, the period, the due date, the total, and how to pay. Missing any of these creates a delay that feels like their fault and is yours.

Add a purchase order number if they gave you one. Finance teams live and die by that field.

Lines a stranger can read

"March retainer, Instagram and TikTok, as scoped" is readable. "Project Phoenix misc" is not. Use the readable one even if your internal code is uglier.

Tax and currency explicit. Assumptions about currency are a good way to be short paid.

Leave out the drama

Do not itemize every internal meeting to justify your existence. Do not annotate the invoice with complaints about their slow approvals. Those belong in a separate, calmer email if they belong anywhere.

The invoice should be payable without a negotiation.

A status they can check

Sent, paid, overdue. If they can see that in the same place they approve posts, you will get fewer "did you send it" messages.

When the status is wrong, fix it before you write a story about their accounts team.
